Private document management

Organise supplier compliance documents by Shopify product

Keep supporting files connected to the products they describe, review each submission privately, and make approaching expiry dates easier to find.

Product-level records

Give every uploaded document a clear product context

A file name alone rarely explains which product, supplier, request, or review decision it belongs to. ComplyDock links supporting documents to the relevant Shopify product records and supplier workflow so merchants can find the surrounding context again.

Documents stay in the private merchant workspace unless a separate supported publication workflow explicitly makes eligible approved information available. Private supporting files are not published by the storefront product-information block.

Document lifecycle

Collect, review, track, and retrieve supporting files

Collect by request

Paid-plan requests can ask suppliers for supporting documents. Custom Growth profiles can also define required document items for the products assigned to that profile.

Review privately

Merchants can open submitted files and make document-level review decisions before accepted documents become part of the active product record.

Return corrections

A file that needs replacement can be returned with merchant feedback so the supplier knows which document needs attention.

Record dates

Store applicable issue and expiry dates with the uploaded file so the record carries more context than its name alone.

Prioritise renewals

Expiry views and merchant notifications surface expired files and documents approaching their recorded expiry date.

Retrieve by product

Merchants can find and download accepted documents from the document vault or the associated product record.

Review boundaries

Keep an uploaded file separate from an accepted record

Uploading a document is not the same as approving it. Submitted files enter the merchant review workflow, where each document can be accepted, rejected, or returned for correction. Review activity remains connected to the underlying request.

Flexible supporting evidence

Organise the files your product workflow needs

Depending on the merchant's workflow, suppliers can be asked for documents such as declarations, test reports, manuals, safety data sheets, or product-label images. ComplyDock organises the files and their review state; it does not authenticate their contents or certify that they satisfy a legal requirement. See how private supporting material fits into managing GPSR-related product information in Shopify.

Important distinction

ComplyDock helps merchants collect and maintain supplier-provided records. Merchants remain responsible for deciding what evidence is needed and whether a submitted document is suitable for their use.
